Team Tasks
Process any source documents from client email or portal
Correct any 3rd party sync errors (e.g. Buildertrend, Knowify, Adaptive)
Check Uncategorized Expenses and Uncategorized Income reports for any vendors that are not properly mapped in 3rd party software (e.g. Knowify, Shopify, Bill.) Correct category in QBO and fix mapping for future transactions.
Optional: Create any Sales or A/R transactions necessary
Reconcile open A/R in QBO to open A/R in project management software
Match entered transactions to Bank Transactions (except any noted exceptions)
Send report of items on Bank Transactions that are not able to be categorized to client.
Run the bank transaction report, identifying transactions that could not be categorized.
Remove the 'Payee' and 'Category or Match' columns to avoid confusion caused by QuickBooks Online's guesses in these fields.
Send the revised missing transaction report to the client, clearly indicating that responses are required to categorize the items.
Ensure timely follow-up with the client to gather responses and missing information.
Review the client’s responses to ensure all necessary information is provided for categorization.
Categorize the missing transactions in QuickBooks Online (QBO) once proper responses have been received.
Mark the task as complete only after all client responses have been received and all transactions have been properly categorized.
Reconcile open A/P in QBO to open A/P in project management or bill pay software
Optional: Pay bills through bill payment system
Optional: Perform payroll tasks as outlined in scope
Confirm with the client that all time entries have been reviewed and approved in QuickBooks Time or other time-tracking software.
Verify that all approved time entries have synced correctly into QuickBooks Online (QBO).
Review and confirm any payroll deductions, benefits, or other adjustments as outlined in the payroll scope.
Process payroll within QBO after client approval, ensuring that payroll tax filings and payments are set up correctly.
Verify that all direct deposits or checks are set up and ready for disbursement.
Follow up with the client to ensure no additional payroll adjustments are needed before processing.
Mark the task as complete once payroll has been successfully processed, and all required payroll documents have been reviewed and filed.
